Manage Site Settings: Quote Follow-Up

The Quote Follow-Up section allows administrators to automate customer reminders for pending quotes.
These follow-ups help ensure no sales opportunity slips through the cracks by automatically reaching out to clients after a set number of days.

Accessing Quote Follow-Up Settings

  • Navigate to Administration from the main menu.
  • Select Manage Site Settings.
  • Click on the Quote Follow-Up tab at the top of the page.

The configuration panel displays all current follow-up rules, intervals, and automated email templates used in your organization’s sales cycle.

Days After Quote Sent to Send Follow-Up

Defines the number of days after the initial quote is sent before QwikSell sends the first automated follow-up email.

  • Example: Setting this to 14 means the customer will receive a reminder two weeks after the quote was originally delivered.

Days After Follow-Up Sent to Send Reminder

Controls how frequently additional reminders are sent after the first follow-up.

  • Example: If set to 14, customers will receive a reminder every 14 days after the initial follow-up.
  • Checking Continue Sending Perpetually ensures reminders continue automatically until the quote is closed or accepted.

Tip: This automation ensures consistent communication with prospects without requiring manual intervention from sales representatives.

Customer Email Subject

Sets the subject line of the automated follow-up email.

Example Default Subject:

Follow-up for Quote #{QuoteNumber}

Dynamic Field: {QuoteNumber} automatically inserts the corresponding quote number into each email for easy reference.

Customer Email Body

Customizes the message content of the automated follow-up email.

Example Default Message:

Hey [CUSTOMER NAME]!

This is an automated reminder that Quote #{QuoteNumber} is waiting for feedback.

Click on the link below to view the quote:

{Link}

Dynamic Fields Available:

  • [CUSTOMER NAME] — Inserts the recipient’s name.
  • {QuoteNumber} — Inserts the specific quote number.
  • {Link} — Generates a clickable link for the client to view and accept their quote.

Include PDF of Quote

Enabling this checkbox attaches a PDF version of the quote to each follow-up email.
This ensures clients can review the proposal directly from their inbox without requiring online access.

Email Exclusions

To avoid unnecessary reminders, QwikSell includes options to filter who receives follow-ups:

  • Do not send reminders to customers whose last sent email was before a specific date.
  • Only send reminders for selected Opportunity Types, such as:
  • Access Control
  • Cabling
  • Cameras
  • Cloud Services
  • Firewalls
  • Networking
  • Printers
  • Renewals
  • Servers
  • Wireless
  • Workstation

Tip: This feature lets administrators fine-tune automation so it only targets quotes in specific sales categories.

Save Changes

After updating follow-up intervals or email templates, click Save to apply the new settings immediately.
Changes will apply to all future quotes generated within QwikSell.

Best Practices

  • Use clear and friendly follow-up messages to maintain customer engagement.
  • Keep the follow-up interval between 7–14 days for optimal timing.
  • Regularly review opportunity types to ensure automated reminders align with active sales categories.
  • Personalize templates using dynamic fields to keep communication professional yet personable.
