Manage Site Settings: Email
The Email section in Manage Site Settings allows QwikSell administrators to configure the platform’s outbound email settings, customize default quote delivery messages, and test system connectivity.
These settings control how quotes and notifications are sent to customers and ensure all communications display the correct sender identity.
Accessing Email Settings
- Navigate to Administration from the main menu.
- Select Manage Site Settings.
- Click on the Email tab at the top of the page.
This section manages all outgoing email configurations, including authentication, sender address, and message templates for customer-facing communication.
Email Configuration Options
Email Sender
Defines the method QwikSell uses to send emails.
- OAuth 2.0 is the recommended method for secure authentication.
OAuth 2.0 allows QwikSell to send emails directly through your company’s mail system without storing user passwords.
From Address
Specifies the default email address used as the sender on all QwikSell communications.
- Example: sales@yourcompany.com
Make sure this address is a monitored inbox so customers can reply directly if needed.
Send Test Email
Click Send Test Email to verify that your email settings are working correctly.
A confirmation email will be sent to the address associated with your account, confirming successful connection and authentication.
OAuth Configuration Fields
These credentials allow QwikSell to connect securely to your organization’s Microsoft 365 or other OAuth-based mail system.
- OAuth Client ID (App ID): Unique identifier for your registered email application.
- OAuth Tenant ID: Identifies your organization’s Microsoft 365 or Azure environment.
- OAuth Secret ID / OAuth Secret: Used for secure authentication between QwikSell and your mail system.
Tip: These values are typically provided by your IT administrator or can be generated within your Microsoft Azure App Registration.
Default Customer Email Template
This section defines the standard subject line and message body sent to customers when a quote is delivered from QwikSell.
Customer Email Subject
The default subject line that appears in your customer’s inbox.
Example:
“We have prepared a quote for you”
Customer Email Body
The customizable message content sent with each quote email.
Example template:
Hey [CUSTOMER NAME]!
We have prepared a quote for you. You can view and electronically place your order online by clicking the link below.
Have a great day today!
[SALESPERSON NAME]
Dynamic Field Tags
Use dynamic tags to automatically personalize outgoing messages:
- [CUSTOMER NAME] — Inserts the recipient’s name.
- [SALESPERSON NAME] — Inserts the name of the salesperson who sent the quote.
- [QUOTE LINK] — Automatically includes the clickable link to view the quote online.
Customizing this email allows you to maintain consistent branding and tone with your company’s communication style.
Best Practices
- Use your company’s centralized email account (e.g., sales@company.com) to ensure consistent branding.
- Send a test email after any configuration changes to confirm connectivity.
- Keep your OAuth credentials secure — never share them outside your administrative team.
- Update your message templates periodically to reflect seasonal promotions, rebranding, or updated company tone.
