Manage Products and Services

The Manage Products and Services section in QwikSell Administration allows you to add, edit, and organize all items available for quoting — including both one-time purchase products and recurring monthly services.
This tool ensures your product catalog is accurate, visually complete, and ready for sales representatives to use when building quotes.

Accessing Manage Products and Services

To manage your product catalog:

  • Navigate to Administration from the main menu.
  • Select Manage Products and Services from the system administration grid.
  • The Products Dashboard will open, showing all existing items that can be used in quotes.

Products Dashboard Overview

The dashboard provides a searchable and filterable list of all active and inactive products.

Filter Options Include:

  • Search Name / Description: Find a product by typing all or part of its name or description.
  • Sub Category: Filter by product category or sub-category (e.g., Cabling, Audio/Video).
  • Monthly: Choose Yes, No, or All to view recurring services, one-time purchases, or both.
  • Purchase: Choose Yes, No, or All to display products available for purchase.
  • Status: Filter by Active, Inactive, or All.

Actions:

  • Search – Applies your filters.
  • Export – Downloads your current product list to a report file.
  • New – Opens the Add Product form to create a new product or service record.

Adding or Editing a Product

Click New to create a new product, or select the pencil icon next to an existing product to make changes.
The Product Details window allows full control over pricing, descriptions, and product visibility.

Product Details Fields

General Information:

  • Product / Service Name (Required): The title displayed on the quote.
  • Assigned to Sub-Category(s): Select one or more categories this product belongs to.
  • Short Description: A brief explanation of the product, shown in quick views or searches.
  • Long Description: A detailed explanation of the product or service — displayed on the customer’s quote.
  • Sort Field: Optional numeric value to control how products are ordered in your list.
  • Active Checkbox: Toggle on to make this product available in quoting. Inactive products remain in your catalog but are hidden from users.

Pricing and Availability

Cost:
Enter the base cost of the product (the price paid by your company).

Monthly Available:
Indicate whether this item can be sold as a recurring service.

  • Options: Yes, No
  • Service Types:
  • HAAS (Hardware as a Service)
  • Monthly Service

If you select Monthly Available, additional fields appear for pricing:

  • Override Pricing: Allows manual entry instead of using system defaults.
  • Monthly Price / Monthly Min: Enter standard and minimum monthly pricing values.

Purchase Available:
Choose whether this product can be sold as a one-time purchase.

  • Options: Yes, No
    If Yes is selected, pricing options include:
  • Override Pricing: Manually set pricing outside of system defaults.
  • Purchase Price / Purchase Min: Define the retail and minimum purchase prices for quoting.

Product Image

Add a product image to enhance your quotes and help customers visually identify items.

Options:

  • Upload New Image: Add a product photo or diagram (ideal format: JPG or PNG).
  • Remove: Deletes the current image.
  • Download: Saves the existing image to your computer for reference.

The uploaded image appears on customer quotes when previewed or exported as a PDF.

Action Buttons

At the bottom of the product editor, you’ll find multiple save options:

  • Save: Saves your changes and returns to the main product list.
  • Save and New: Saves your current product and opens a blank form to add another.
  • Save and Copy: Saves a duplicate of the product for quick creation of similar items.
  • Cancel: Discards unsaved changes.

Best Practices

  • Keep product names consistent with vendor or catalog references.
  • Use clear, concise short descriptions and detailed long descriptions for customer-facing clarity.
  • Add images whenever possible to create professional, visual quotes.
  • Use Override Pricing only when needed
  • Review your catalog quarterly to retire inactive or outdated products.
